Manage Staff access across Locations

Give Staff the right Hub role and Location assignment, then check access separately from online bookability.

Staff access has two parts: their Hub role and their assignment at each Location. Use Organisation > Team to invite a person and assign a predefined role. Select the Location, then use Setup > Staff to manage their assignment, schedule and Service Availability. Access to Hub does not, by itself, make someone bookable online.

  1. Invite the person in Organisation > Team.
  2. After they join, use Change Role to choose their role.
  3. Select each relevant Location and open Setup > Staff.
  4. Assign the Staff member and manage their schedule and Service Availability.
  5. Check Hub access and online bookability as separate results.

1. Assign a Hub role

Open Organisation > Team, select Invite Member and complete the invitation. A new team member joins as a Receptionist. After they appear in Team, use Change Role to choose Manager, Technician or Receptionist. The change saves immediately.

Roles control what the person can access in Hub. A Hub role does not assign someone to a Location, add Services or create working times. Only an Owner can manage organisation team members.

2. Manage the Location assignment

Select the Location with the sidebar Location switcher, then open Setup > Staff. Assign the person to that Location and save their assignment. Repeat this for every Location where they work. A person assigned at one Location is not automatically assigned at another.

From the Location Staff controls, manage the assignment, working schedule and Service Availability. Location Staff is where these day-to-day settings belong. You do not need to manage individual permissions here.

Check before moving on: Confirm the person has the intended role in Organisation > Team and a separate assignment at every required Location.

Hub access is separate from online bookability

A Staff member can sign in to Hub without appearing on the Booking Page. An assignment can be bookable online without giving that person permission to manage Staff in Hub.

To make a Staff member bookable at a Location, check:

  • the assignment's Start Date and optional End Date cover the date the Customer is booking;
  • the assignment is Active;
  • Bookable Online is on;
  • the Service is active, assigned to the Location and available for online booking;
  • the Service is enabled for that Staff member; and
  • their working times overlap the Location's Opening times.

Bookable Online controls whether Customers can choose the Staff member on the Booking Page. It does not grant Hub access, assign a Hub role or give access to another Location.

Common questions

Why can a Staff member sign in but not see our Location?

Check that they have a Hub role and a Staff assignment at that Location. Assignments do not carry over between Locations.

Why is the Staff member not on the Booking Page?

Check the assignment's Start Date and End Date, Active, Bookable Online, the Location's online booking setting, the Service's online booking setting, Service Availability and working times. Hub access alone does not make someone bookable.

Why can the person access Hub but not change a schedule or Service?

Their role may not include the access needed for that task. Ask an Owner to review the predefined role, then check the person's Location assignment and the relevant Setup > Staff controls.

If access or bookability still looks wrong, contact support with the organisation, Location, Staff member, Service and action you tested. Do not include Customer or payment details.
