    Turn reminders on

    In your booking rules, switch reminders on and choose how many hours before the appointment they go out: 1, 2, 4, 6, 12, 24, 48 or 72. Reminders start off, so nothing goes out until you decide it should.

    Setora schedules every booking

    As soon as a booking is confirmed, its reminder is scheduled at your lead time. Move the appointment and the reminder moves with it. Cancel it and no reminder goes out.

    The customer gets reminded

    At the scheduled time Setora emails the customer. If you have SMS credits and there is a mobile number on the booking, they get a text as well.

Every email reminder is part of £39/month per location. There is no per-message charge and no add-on to buy.

SMS is separate, and only when it sends

A text reminder uses one SMS credit. Credits are bought separately and are only taken when the text is actually sent, so a cancelled appointment never costs you one.

A lead time you choose

Pick 1, 2, 4, 6, 12, 24, 48 or 72 hours before the appointment. The default is 24 hours. If you run more than one location, each location can use its own lead time or follow the shop default. A booking made inside your lead time gets no reminder, because the send time has already gone.

What the email says

The email carries your shop branding and shows the date, time, address and the services booked, with prices and a total unless you have pricing hidden. When online booking is on for that location it also has a Manage your appointment button, and a cancel link on bookings that carry one, so a customer who cannot make it can free the slot themselves. If online booking is off it points them back to the shop, with your phone number when the location has one.

What the text says

The SMS is plain text: your shop name, the date, the time and the booking reference. It is kept short and free of special characters so it stays inside one credit. It does not carry a link.

Reschedules and cancellations

Move an appointment and its reminder is recalculated to the new time. If the new send time has already passed, no reminder goes out. Cancelled, completed and no-show appointments are skipped, and skipped reminders never use a credit. Customers can move their own booking through self-service bookings.

When a message fails

The email and the text are sent independently. If you are out of credits, there is no mobile number on the booking or the text fails at the network, the email still goes out. A customer with no email address gets only the text, and a customer with neither an email address nor a mobile number cannot be reminded at all. Every booking shows its reminder as Pending, Sent, Failed or Skipped, with the reason recorded, so you can see what happened rather than guess.

Where reminders stop

Setora sends one reminder per appointment, so there is no second nudge on the day. The wording is fixed and cannot be edited. Reminders are on or off for a location rather than per customer, and there is no WhatsApp option. How long before an appointment does Setora send a reminder?

You choose the lead time: 1, 2, 4, 6, 12, 24, 48 or 72 hours before the appointment. The default is 24 hours. Can I change the wording of a reminder?

No. The reminder wording is fixed. The email carries your shop branding and shows the appointment date, time, address and the services booked, and the text shows your shop name, the date, the time and the booking reference. What you control is whether reminders go out at all and how far ahead.

What happens if a customer reschedules or cancels?

Do customers have to opt in to appointment reminders?

Reminders are service messages about a booking the customer has made, sent to the contact details they gave when booking. They are separate from marketing consent, which Setora records on the customer profile and which does not control reminders. There is no self-service reminder opt-out for customers today. If someone asks not to be texted, remove their mobile number from their customer record and they will still receive the email reminder.

What happens if a reminder fails to send?

The email and the text are sent independently, so a failed text does not stop the email. If you have run out of SMS credits, there is no mobile number on the booking or the network rejects the text, the email still goes out. A customer with no email address on file gets only the text. Every booking shows its reminder status as Pending, Sent, Failed or Skipped, with the failure reason recorded.
