When the visit is finished, use Checkout in Setora Hub to record how the Customer paid or charge an available saved card. Checkout completes the Booking only after the selected payment path succeeds.
- Open the Booking after it has started and choose Checkout.
- Check the service total, successful Deposit, tip and amount due.
- Choose the payment method and follow the method-specific step.
- Check the result, then tell the Customer the payment outcome.
1. Open Checkout
Open the Booking from the Calendar or Bookings, then choose Checkout. A Booking cannot be checked out before it has started. Check that the Customer, Services and total are right before you continue.
After the appointment starts, Checkout is available for Confirmed and Needs Checkout Bookings. Local payment methods also support legacy Pending Payment Bookings. A completed Booking cannot normally be checked out again.
2. Check the amount due
For most Locations, Hub works out the amount due like this:
Service total - successful Deposit + tip
Only a Deposit whose online payment status is succeeded reduces the amount due. A pending or failed payment does not. A tip is added after the Deposit deduction, so a Customer can still owe a tip when a Deposit covered the full Service total.
For example, a £40 Service with a successful £10 Deposit has £30 left. Adding a £3 tip makes the amount due £33. Select the tip amount in Checkout before choosing the payment method.
At a cash-only Location, Hub shows the entered Service total plus the tip as Due now. Checkout records the entered cash amount and the tip separately. Check both carefully before saving.
3. Choose the payment method
Choose from the payment methods available for your account. The common labels are:
| Method | What happens |
|---|---|
| Cash | Records the cash collected locally. Setora does not take a card payment. |
| Record card | Records that you took payment on an external card machine or provider. It does not charge the card through Setora. |
| Charge saved card | Charges the saved Booking Protection card through the connected Stripe account, when this option is enabled and available. |
| Split Payment | Records cash and card portions locally. Take the card portion on your external card machine; Setora does not charge that portion. |
Record card is only a record. Take the money on your own card machine or provider first, then select Record card in Hub. Selecting it does not mean Setora processed or verified the external payment. If Hub shows another payment method for your account, follow the instructions on screen.
Saved card is different from recording an external card payment. It requires Charge saved card at checkout to be enabled, a saved card from online Booking Protection, a connected Stripe account and a Location that is not cash-only. Only use it when the Customer agreed that their saved card can be used for the appointment, because Booking Protection normally saves a card to cover a late-cancellation or no-show fee.
4. Save Checkout and complete the Booking
Before you confirm, check the selected method, amount, tip and any note. If the Customer paid on an external card machine, make sure that payment is complete before selecting Record card.
A successful Cash, Record card or Split Payment Checkout completes the Booking. A saved-card payment completes after Stripe reports success. Completed Bookings are included in financial reports, including the tip and payment method totals.
A Deposit is not recorded again at Checkout. The current Hub has no visible action to complete a zero-balance Booking without recording a payment. Contact Support rather than entering a payment that did not happen.
If Checkout does not work as expected
- Checkout is not available: Check that the Booking has started, is not already completed, and that you have permission to manage it.
- The amount is wrong: Check the Service total, whether the Deposit status is succeeded, the tip and, for a cash-only Location, the cash amount entered.
- A card was charged outside Setora but the Booking is not complete: Check that you selected Record card and submit it again if the first record did not save.
- Saved card is unavailable: Check Charge saved card at checkout, the Booking Protection saved-card status, Stripe connection and Customer consent. Staff-created Bookings do not collect a Booking Protection card.
- A saved-card payment failed: Follow the message in Hub. Retry the saved-card attempt. Use another method only after Hub confirms the first attempt failed or was cancelled. Do not select Record card unless payment was actually taken externally.
If the result still does not match what Hub shows, open the chat and tell us the Booking reference, Location, Service, Staff member, appointment date, selected method, amount, tip and error or status shown. Do not send card details, Stripe IDs or Customer personal data.
